What Should an Invoice Include?

Invoice number

A unique reference (e.g. INV-001) to track payments and match against your records.

Your business details

Full name or company name, address, email, and phone number.

Client details

The paying party's name and address — required for their accounting records.

Invoice date & due date

Date issued and payment deadline. Net 30 (30 days) is the most common payment term.

Itemised line items

Description, quantity, and rate for every product or service — clear and specific.

Tax details

If VAT or sales tax applies, show the rate and amount separately from the subtotal.

Total amount due

The final amount in the invoice currency. Make it obvious — bold and prominent.

Payment instructions

Bank account details, PayPal address, or payment link in the Notes/Terms section.

Send the invoice immediately

Freelancers who send invoices within 24 hours of completing work get paid 2× faster on average. Don't wait until end of month.

State your payment terms clearly

Use the Notes field to specify terms: "Payment due 14 days from invoice date. Bank transfer only." Ambiguity delays payment.

Follow up on day 1 after the due date

A polite email on the first day past due catches 80% of late payments. Most are forgotten invoices, not disputes.

Use a consistent invoice number sequence

Clients and accountants need to match your invoice to a purchase order. INV-001, INV-002 is clearer than random IDs.

Include your bank details or payment link

Every extra step between the client and paying you costs you a day. Put your account number directly in the invoice notes.

Is the invoice generator really free?

Yes — completely free, no account needed, no watermark, no paid plans. Generate as many invoices as you like.

Is my data uploaded to a server?

No. Everything — the form data and PDF generation — runs entirely in your browser using jsPDF. Your invoice details never leave your device.

Can I save my business details for next time?

Your browser doesn't retain form data between sessions by default. For now, keep a copy of your details somewhere convenient and paste them in. A save feature is planned.

Which currencies are supported?

GBP (£), USD ($), EUR (€), CAD (C$), AUD (A$), INR (₹), and JPY (¥). Select your currency from the Invoice Details section — the symbol appears on line items and the PDF total.

Can I add a logo to the invoice?

Logo support is on the roadmap. For now, you can add your business name prominently in the 'Your Details' section — it appears in the PDF header.

What if I need to charge VAT?

Enter your VAT rate in the Tax % field (e.g. 20 for UK standard rate). The tool will calculate the tax amount and total automatically, and show the breakdown clearly in the PDF.

Is this suitable for UK self-employed / sole traders?

Yes. The invoice includes all fields required by HMRC: your name, the client's name, invoice date, description of services, and total amount. For VAT-registered businesses, also include your VAT number in the Notes field.
